NAES Corporation, a leading provider of 3rd party O&M services to the Independent Power Industry, is currently recruiting for the following position: GENERAL SUMMARY Answer incoming calls and transfer to appropriate extension, take messages, and greet visitors. Perform a variety of routine clerical tasks, including typing, filing, distribution of mail and FedEx, sending and receiving facsimiles and telecopies. PRIMARY DUTIES Operate a multi-line telephone console to relay incoming, outgoing and intrasystem calls. Record and transmit messages and provide routine information to callers. Greet clients, customers, vendors and applicants and contact appropriate personnel. Open and distribute incoming mail and packages. Prepare outgoing mail and packages with necessary postage and packaging and arrange for courier package pickup. Perform miscellaneous administrative tasks, including the maintenance of conference room schedules, subscriptions, maintaining office supplies, receiving and transmitting telecopies, copying, and distributing correspondence. Insure office supplies and equipment (copy machines, scanners, projectors, postage machines) are maintained and fully stocked (conference room, shop, rest areas), including printed materials (forms, timesheets). Maintains confidentiality and a thorough working knowledge of and adheres to organizational policies, regulations and procedures. SCOPE OF RESPONSIBILITY Operate from well-known procedures under moderate supervision. Decisions are made within prescribed operating guidelines. Job encounters regular and routine work situations, involving a moderate degree of administrative complexity. Contacts are normally made with others inside and outside the company including customers, other departments, immediate associates and own supervisor. Contacts are normally made on own initiative concerning routine reporting and exchange of information requiring little or no discussion. All employees have the responsibility to both the customer and their co-workers to do the job right the first time and to ensure the customers' needs are being met. SPECIFIC SKILLS AND KNOWLEDGE REQUIRED Basic knowledge of modern clerical and office practices and equipment in the area of assignment. Ability to operate a multi-line telephone console and effective use of company purchased computer software/programs. Ability to deal in a professional manner with various personalities encountered on the phone and in person. Effective oral communication skill dealing with the general public and all levels within the organization. EDUCATION AND EXPERIENCE REQUIRED Ability to understand procedures and instructions specific to the area of assignment as would be acquired in four years of high school, obtaining a GED or equivalent. Four years of prior experience as a receptionist or work in an office environment and/or dealing with the public. WORK CONDITIONS Normal working hours are 8:00a.m. to 5:00p.m. Monday through Friday.
